A helpful system also knows when to stop.
You want help with the work without losing control over customer information and commitments. Define which information may be used, who checks the result and which actions need explicit approval.

A draft reply is not a message sent to a customer. A summary is not a decision. For each step, define what the system may prepare, what a person checks and who may act afterwards. An approval button does not replace clear responsibility.
A file is not permission
One document can contain useful knowledge, confidential customer information and private notes. What is actually needed for this task? Who may access it? What stays outside? Begin with an anonymised example rather than the entire archive.
Follow the information
Record where information enters, is processed, is stored and may be passed on. Ask about providers, subprocessors, access, retention and deletion. The answer must match the actual configuration; a general privacy promise does not describe that route.
Include the difficult case
Two sources disagree. Calendar approval is missing. A question exceeds the approved knowledge. Agree what happens: ask, do nothing or hand over to a person. Test that route as deliberately as the desired result.
Responsibility needs a working routine
Who checks outputs? Who may change sources? Who notices a problem and stops affected workflows? Agree when changes require new checks and how people continue without the system. Responsibility then becomes more than a sentence in a proposal.
What to expect before a connection
For the agreed workflow, sources, providers, roles, permitted actions and open questions are brought together. Relevant contractual and privacy questions are checked before the connection concerned. A website explanation replaces neither that review nor assessment of your particular use.
Questions a provider should answer
Which information leaves which system? Can an output immediately trigger an action? Where can I see corrections and who handles them? How are access and stored data removed? Ask for concrete answers about the intended workflow, not a blanket “100 per cent safe” promise.
