What a knowledge assistant can do

You ask a question in your own words. The assistant searches the documents approved for that task and prepares an answer with sources. This can help with repeated questions or getting new colleagues started. Whether an answer is correct and appropriate for the specific case must remain open to checking.

Start with a bounded area of knowledge

For a first test, we choose one internal process or a common type of customer question. It needs current documents, a responsible person and examples of good answers. Missing, conflicting or outdated content is made visible; an assistant cannot simply replace that foundation.

One possible everyday example

A colleague asks which details are missing from an order. The assistant finds the relevant internal checklist, points to its source and prepares the next questions. If the order is an exception, it hands over the open question. It does not invent a binding promise or send the draft without the agreed approval.

Agree sources, permissions and boundaries

Before connecting anything, we clarify who may see which documents, which providers are involved and how information stays current. A test must also check that restricted sources stay excluded and questions without answers are recognised. A source citation alone does not guarantee a correct answer.

Use real questions to test usefulness

We agree a paid, bounded test with a known set of questions: everyday questions, ambiguous wording and cases with no suitable answer. We look at correctness, traceability and the total time to a checked answer. Only then do you decide whether to use it, improve it or stop the test.

Common questions

Is this just a general chatbot?

The starting point is a concrete task with selected sources, access rules and checks. An existing search or assistant feature may be sufficient. We compare that option before building something custom.

Can it answer customers directly?

An internally checked draft is often a manageable first test. Direct sending would be a separate, explicitly agreed step with clear limits, controls and a route to a person.

What if the answer is not in the documents?

That is part of the test: the assistant should make the gap visible and hand over the question. Plausible wording is no substitute for a supported answer.
